TEAM MANAGER · WORKSPACE

Less chasing. More team time.

Let routine team communication happen in the background. Choose which team updates send automatically and which drafts wait for you, with schedules, tasks, and referee fees alongside.

The features below describe the early-access desktop app. Hosted capabilities remain disabled for public use pending release review; checkout is closed. Preview upcoming website access →

Your team, in a good place.

  • Background checks for PlayMetrics messages, notifications, and schedule changes.
  • Auto-send selected team updates, or review, edit, approve, and dismiss drafts yourself.
  • Plan with the availability calendar and manager reports.
  • Track tasks and referee fees.

Keep the installed app running on an awake, connected computer for background checks. With auto-send off, drafts wait for approval. Turn it on for selected schedule updates, availability reminders, and team announcements; direct parent replies still wait for review. Auto-send is off by default. This is PlayMetrics messaging, not a Gmail or Outlook integration.

Component 01 · Inbox & schedule watch

Watches PlayMetrics messages, notifications, and schedule changes between visits, then prepares the relevant communication. Your auto-send settings decide which eligible team updates go out and which wait for review. Club newsletters and merch blasts get set aside.

  • 01 · It checks in on its ownRunning quietly in the background — daily, or a few times a day, your choice. Each check reads the messages that arrived since the last one, weighing how each was sent (a note straight to you outranks a club-wide blast), and compares the current schedule against the last check to catch a game or practice that was added, moved, re-timed or cancelled — even when no notification went out.
  • 02 · It decides what actually needs sayingA field closure passed on to your team, an availability chase naming the players who haven't responded, this week's game moved to a new time or field, a deadline logged, a reply to a parent's question — written from your real roster, schedule and availability. A game added two months out doesn't get an email; a change to this weekend's does.
  • 03 · Review when you want more controlWith auto-send off, prepared team messages wait in the queue. Approve, edit, or dismiss them when it suits you. Background checks and drafting can continue while the app runs.
  • 04 · Or let the routine ones send themselvesOptional, and off until you turn it on. Auto-send takes a list of message types you tick — schedule changes, availability reminders, general announcements — and sends those to the team the moment they're drafted, no queue. Anything you didn't tick, and anything addressed to one parent rather than the whole team, still waits for you.

It writes in your voice. A one-time Settings screen holds a few things it should always honour — your name for the sign-off, the tone you want, and the facts that are always true for your team (required uniform, home field, arrival window, weather policy). It uses those and never pads a draft with advice the team already knows.

What it reads: your messages, PlayMetrics notifications, the schedule (and what changed in it since last time), team roster with parent contacts, and who's marked available. Read-only — it never changes these.

What it won't do on its own: move a game, mark a player in or out, or message a parent directly — those always wait for you.

Component 02 · Manager reports

A short written brief — once a day, and a fuller one each week — of everything you'd otherwise carry in your head:

  • Open tasksand what's due when
  • Games and practices coming upand what's still missing: no field set, no arrival time, thin availability
  • Who needs chasingavailability, forms, payments
  • Player cardswhich upcoming games need them, and a heads-up to request one for any player added in time for the Wednesday-before-match deadline
  • Decisions waiting on you

Read it in the app, or have it sent to your own email.

Component 03 · Availability calendar

Every game and practice on a month calendar, each one showing how many players are in, out, and haven't answered — pulled straight from PlayMetrics. Any date that doesn't have enough players is flagged, so you see a thin weekend weeks out instead of the night before.

  • Enough to play13 for a game, 8 for a practice. Below that, the date is flagged.
  • Who's missingthe out and no-response players named on each date, so a chase writes itself
  • Weeks of runwaythe whole month at a glance, not just the next game
Component 04 · Budgeting

Every game gets a referee fee the moment it's on the calendar — $90 to start, yours to adjust for a tournament or a friendly. One place to see what's owed, what's paid, and what still needs to go out.

  • Starts itselfeach scheduled game is seeded at the $90 baseline; change the fee or the kind with one click
  • Paid or notmark each one off as the treasurer settles it, and the running total updates itself
  • One message to the treasurera copy-ready summary of every fee, paid and due
